Running a business as a creative entrepreneur can feel like juggling 10 different hats at once. From client work and content creation to product development and admin tasks—it’s a lot. That’s exactly why I created a weekly planning system inside Notion that acts as my digital HQ. In today’s post (and video below!), I’m walking you through how I use Notion for business to organize my week, streamline my focus, and actually move the needle in my business—all without the chaos.

Why I Chose Notion for Small Business Organization

Hi, I’m Rachelle—and after over 10 years of running my business, I’ve learned that staying organized is half the battle. I used to keep everything scattered across sticky notes, notebooks, and a graveyard of half-finished Notes App lists. But when I finally hit my limit, I knew I needed something better. I craved a system that felt flexible, functional, and (let’s be real) a little cute too—because as creatives, we’re way more likely to use a tool if it looks good.

That’s when I fully committed to using Notion for small business operations. I built a digital office space that holds every piece of my business, from planning launches and managing client projects to content batching and idea capturing.

And today, I’m sharing one of the most important pieces in that space: my Weekly Planning Page.

My Main Notion Dashboard: A Business Home Base

Before I start planning my week, I always land on my main dashboard. This is my go-to space for navigating every area of my business in one place. It gives me a bird’s-eye view of:

  • What’s happening this week
  • Upcoming meetings and calls
  • Active projects
  • Content that’s going live
  • Business goals I’m tracking
  • And quick-access buttons to log tasks, ideas, new clients, or content plans

But the true magic? It happens before I even open this dashboard—inside my Weekly Planning Page. Think of it like my personal Monday morning team meeting.

Weekly Planning in Notion: My Secret to Focused Work

This page is the cornerstone of how I use Notion for business. Every week—usually on Sunday night or Monday morning—I spend about 20 minutes planning out my week. That simple rhythm changed everything for me.

I can review all tasks that need attention, drag them into specific days, and make sure they align with my bigger picture goals. Instead of starting my days feeling behind or scrambling to put out fires, I’m able to work on purpose. Whether I’m launching something new or just trying to stay consistent with content and client work, this system keeps me grounded.

Automated Recurring Tasks That Keep Me on Track

One of my favorite features of this system is that certain tasks show up automatically:

  • “Plan My Week” Task: Recurs every Sunday to remind me to sit down and get intentional. There’s even a button that takes me directly to my Weekly Planning Page from the dashboard.
  • Monthly Admin Day: Pops up on the first of each month. It’s my cue to handle all the behind-the-scenes tasks like updating bookkeeping and categorizing business expenses—those things we all love to avoid but absolutely need to stay on top of.

This is the first year I’ve been consistent with my monthly admin work, and I’m already excited for how much easier tax season will be.

Quick Add Buttons: Get It Out of Your Head (Fast)

Nearly every page in my Notion workspace includes quick add buttons—so I can instantly log a new task, idea, or client detail without getting lost in clicks. They’re designed to reduce friction and keep my brain clear. One of my favorites is my “thinky thought” button—perfect for capturing random creative sparks.

Prioritized Task Sorting That Keeps Me Focused

My unscheduled task list is sorted by both due date and priority. That means even if something doesn’t have a deadline yet, I can still see what matters most and plan accordingly. I love being able to drag and drop those tasks right into my weekly calendar—such a simple but powerful way to stay on top of what’s important.

Weekly Biz Habits You Won’t Forget

Another helpful feature is my “Add Weekly Tasks” button. These are the things I want to make space for every week—like marketing my own business, checking in on metrics, or keeping my inbox tidy. It ensures I’m staying committed to the long game, not just bouncing between urgent client work.

Idea Inbox: Capture Everything in One Place

This is one of the most underrated tools in my Notion templates for small business owners. My “Needs Sorted” section is a dedicated inbox for capturing tasks or ideas that don’t yet have a home. I can return to this list later, assign due dates, or link them to projects. This way, nothing gets lost—and every idea has the potential to turn into action.

A Quick Look at Content & Projects

At the bottom of my Weekly Planning Page, there’s a content preview section that shows all of my scheduled posts for the week—plus where they’re at in production. It helps me stay ahead and make sure everything’s ready to publish. On the right side, I also have a panel that shows current active projects to keep them top-of-mind throughout the week.
